Why delivery speed depends on the package, not the booking lead time

It is a common assumption that booking further in advance somehow buys faster delivery. It does not; delivery speed is set by which service you book, standard 48-hour delivery or EXPRESS 24's same-day options, not by how many weeks passed between booking and the event.

A booking made three days out with EXPRESS 24 still delivers on the same schedule as one booked three months out with the same package. What a short lead time genuinely affects is whether a crew has the availability to take the job at all, since good crews fill their calendar ahead of busy seasons.

If a crew tells you same-evening delivery is not possible for your date, the honest reason is usually availability, not that the turnaround itself has somehow become slower because the booking came in late.

What same-evening turnaround requires from the client side

Same-evening delivery still depends on the same things it always does: a clear shot list, a named contact who can answer quick questions, and a defined deadline. Spend the extra ten minutes getting these basics to the crew even when the booking itself came together in a hurry, since it is the difference between a batch that answers your actual need and one that simply arrived quickly.

If you genuinely have no time to prepare a shot list, at minimum tell the crew the two or three things that absolutely must be captured, since this is far better than leaving priorities entirely to guesswork.

Briefing a photographer quickly when the date is close

When there is no time for a full video call, a phone call or a detailed WhatsApp message covering the programme, venue and priority shots can work almost as well. The goal is the same information transferred faster, not a lower standard of brief.

Send whatever documents exist, even an informal run sheet or an old programme from a similar past event, rather than waiting until you have something polished. A crew used to same-day bookings is used to working from imperfect but timely information.

A short voice note describing the programme can also work well when typing out a full message is not practical, as long as it covers the same essential points.

This works well even with a crew you have never used before, provided the brief is specific enough to leave little room for misinterpretation.

Setting a realistic same-evening deadline together

Agree the actual deadline with the crew rather than assuming the fastest possible turnaround applies by default. A same-evening deadline for a 6pm event finish is different from one for an event still running at 10pm, and the crew needs to know which one you are working toward.

This agreement should happen at booking, even a rushed one, so nobody is guessing at the delivery time once the event is already underway and attention is elsewhere.

Write the agreed deadline down, even in a quick text message, so both sides can refer back to it if the evening starts running differently from plan.

If the event's actual finish time turns out to be earlier or later than expected, a quick message updating the crew helps avoid either an unnecessarily rushed edit or a batch delivered later than it needed to be.

What to have ready when you call

Have the date, venue, rough programme and your priority shots in mind before you call, even if none of it is written down formally yet. Knowing roughly how many delegates or guests to expect also helps the crew judge how many photographers the day realistically needs.

The faster you can answer these basic questions, the faster the crew can confirm availability and start planning the shoot itself, which matters more than usual when the date is close and every hour of lead time counts.

Even a rough guest count and a one-line description of the event type, corporate dinner, product launch, appreciation lunch, is usually enough for an experienced crew to start scoping the job properly.
