How it runs
Five steps, none of which need you in Singapore.
1. You send the run-of-show
Dates, venue, programme and what the images and footage are actually for. That last part changes the coverage more than anything else.
2. Fixed quote in SGD
Crew numbers, hours, deliverables and turnaround, priced for the scope rather than by the hour. Nett — no tax added afterwards.
3. Briefing on a call, confirmed in writing
One video call at a time that works for you, then the shot list goes back to you in writing so nothing depends on what anyone remembers.
4. A named producer on site
You know who is in the room. They report as the programme moves, so you can steer from another time zone while it is still possible to change something.
5. Delivery to your deadline
Edited selects within the hour on EXPRESS 24, the full gallery within 24 hours, or 48 hours as standard. Multi-day shows get a fresh gallery every evening.
Time zones
Delivered to your office hours, not ours.
Singapore runs at UTC+8, which is an advantage rather than an obstacle if the delivery is planned around it. An event that finishes at 6pm in Singapore finishes in the early morning in New York and around lunchtime in London and Frankfurt — so with EXPRESS 24, edited selects can be in front of your head office on the same working day, before the story goes cold.
That is the whole point of the service: EXPRESS 24 delivers edited selects within the hour of shooting and the complete gallery within 24 hours. Without it, standard delivery is 48 hours, which is still ahead of most of the market but will not make a same-day press release.
Venue access
Who is allowed to shoot, and how we clear it.
Most large shows in Singapore already appoint an official photographer for general coverage of the event. That rarely replaces what you need: your own sessions, your VIPs, your stand, and frames you own outright for your own channels. Organisers bring in their own crew alongside the official one all the time.
What varies is the approval route. Some venues publish house rules; at many exhibitions it is the show's own exhibitor manual that governs who may work on the floor and what accreditation they carry. Rather than hand you a rulebook, we read the document that applies to your event, confirm the requirement directly with the venue or organiser, and arrange the crew passes and equipment declarations. We work at Marina Bay Sands, Suntec, Singapore EXPO and the hotel ballrooms every month.
Rights
What your head office can do with the work.
RS Photography retains copyright and grants every client a perpetual, worldwide, non-exclusive licence to use the delivered photographs and footage. In practice that means your head office, your regional teams and your press office can all use the work, in any market, for as long as they need it, without coming back to negotiate a separate licence or paying again on renewal. We have no team in Singapore. Can you handle everything on the ground for us?
That is the normal shape of this work for us. One named producer runs your event end to end — photography, multi-camera video, live streaming and photo booths come from the same ten-person in-house crew on one run sheet, so you deal with one contact rather than three vendors in a city you are not in. You do not need to send anyone.
How do we brief a crew we will never meet before the show?
You send the run-of-show and what the images are for. We come back with a fixed quote in Singapore dollars, then we do one video call and put the shot list in writing so nothing rests on memory. On the day, your producer reports in by WhatsApp or email as the programme moves, and you get the delivery link when it is ready.
Is it worth flying our own photographer to Singapore for a two-day show?
Sometimes, if the person already knows your brand intimately. But budget for the friction rather than just the fare: equipment through customs, the work-pass question for paid work performed in Singapore, venue access and accreditation arranged from abroad, no local backup body if a camera fails, and an editor working your home time zone instead of the show's. A local crew removes all five. We are not the right answer for every event and will say so.
Do you invoice in Singapore dollars, and can we pay by international transfer?
Yes. Contracting and invoicing are by RS Photography, UEN 53232305W, in Singapore dollars. International telegraphic transfer is fine; PayNow is available if you have a Singapore paying entity. Terms are 50% on confirmation and the balance on delivery.
Will GST or local tax be added to your quote?
No. RS Photography is not GST-registered, so the figure we quote is the figure your finance team pays. There is no tax line to reconcile afterwards.
Does our head office get worldwide rights to use the photographs?
Yes. RS Photography retains copyright and grants every client a perpetual, worldwide, non-exclusive licence to use the delivered images and footage. Your head office, your regional offices and your press team can all use the work without coming back to negotiate a separate licence.
Our show already has an official photographer. Can we still bring our own crew?
Usually yes, and organisers regularly do — the official photographer covers the show at large, while your own crew covers your programme, your VIPs, your stand and the frames you actually need for your own channels. The approval route differs by show and by venue: some venues publish rules, and at many exhibitions it is the show's own exhibitor manual that governs. We read the document for your event, confirm the requirement with the venue or organiser, and arrange the on-site passes rather than leaving that with you.
What venue access does your crew need at Marina Bay Sands, Suntec or Singapore EXPO?
It varies by venue and by show, which is exactly why we handle it. We work in these rooms every month, so we know who to ask and what lead time each place expects for crew names and equipment lists. Tell us the venue and the dates and we will come back with what is required for that specific event.
Our event ends at 6pm Singapore time. Can our head office in London or New York see photos the same working day?
Yes, and this is what EXPRESS 24 is for. Edited selects reach you within the hour of shooting — a Singapore evening finish is still the same afternoon in London and the same morning in New York — and the complete edited gallery follows within 24 hours. Standard delivery without EXPRESS 24 is 48 hours.
Can you deliver a fresh gallery every evening of a multi-day exhibition?
Yes. Show dailies are standard for us on multi-day events: each day's edited set goes out that evening so your team can publish while the show is still running, rather than receiving everything after the audience has gone home.
Can our exhibitors book booth coverage from you directly?
Yes, and organisers often set this up as a paid add-on in their exhibitor services. We can take exhibitor bookings on your show as a separate line, coordinated against the same run sheet so nothing clashes with your own coverage.
What language does the crew work in?
English. Briefings, on-site direction and all written reporting are in English.
